Terms of Service

The rules, responsibilities, and operational guidelines governing your agency account and secure client onboarding environment.

1. Overview & Scope

These Terms of Service (“Terms”) govern your access to and use of the IntakeLane platform, website, and services (collectively, “IntakeLane” or the “Service”). By creating an agency account or utilizing the Service, you agree to be bound by these Terms.

2. Account & Roles

To access agency features, you must register for an account. You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your organization.

Agency Owners & Admins

Responsible for billing, subscription tier limits, and managing team permissions (Owner, Administrator, Member, Viewer).

Client Access

Clients receive passwordless, token-hashed magic links scoped strictly to their assigned intake request.

3. Acceptable Use & Credential Policy

IntakeLane is engineered specifically for structured client onboarding and asset collection. You agree not to use the Service to collect, store, or transmit unencrypted sensitive credentials directly.

Strictly Prohibited
  • Plaintext website/email passwords
  • Full payment card numbers or CVVs
  • Social Security or national ID numbers
  • Bank login passwords or seed phrases
Approved Collection Methods

Utilize structured access request fields (URL, Account Email, Required Access Level) or direct clients to encrypted third-party password managers (e.g., 1Password, Bitwarden).

5. Billing & Quotas

Subscriptions are billed in advance on a recurring monthly or annual cycle via Stripe. Plans enforce active intake limits, user seat counts, and storage quotas.

Cancellation & Grace Period:

You may cancel anytime via Billing Settings. Cancellations take effect at the end of the current billing cycle. Data is maintained for a standard grace period before export or final account deletion.

6. Data Ownership

You retain all intellectual property rights to the form content, responses, and uploaded assets (“Customer Data”). IntakeLane processes Customer Data strictly to provide, maintain, and secure the Service in accordance with our Data Processing Addendum (DPA).

7. Limitation of Liability

To the maximum extent permitted by law, IntakeLane shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenues, or data resulting from your access to or use of the Service.
